Identify the vehicle, not just its badge
Provide the make, model, year and body style. A model name alone can describe several sizes, so mention whether it is a sedan, wagon, ute or van. Describe modifications such as a canopy, roof rack, lift kit or lowered suspension; standard specifications may no longer describe the vehicle.
State whether it starts, moves, steers and brakes, and whether keys are available. If a seller has not checked something, label it unknown rather than assuming the vehicle is ready. Current photographs can help explain an unusual configuration, but do not replace measurements requested by the provider.
- Make, model, year and body style.
- Running condition and any access or clearance concerns.
- Accessories or modifications affecting height, width, length or weight.
- Whether the information is owner-confirmed, seller-reported or still unverified.
Describe both ends of the route
Include pickup and delivery suburbs, states and postcodes. Identify the location type: home, dealership, auction yard, workplace or depot. Two addresses in the same suburb can have very different access conditions.
Mention narrow streets, parking restrictions, steep driveways, gates and opening hours. The provider should assess a safe handover location; a residential address does not automatically mean loading can happen in its driveway.
Use these details when discussing interstate car transport for your route, and ask which collection and delivery arrangements are available.
Separate readiness from your preferred arrival date
Give the earliest date the vehicle can actually be released, the preferred collection period and any deadline at the receiving end. Explain why a deadline matters, such as losing access to a property. A preferred date is not a confirmed transport slot.
Hypothetical brief
“A standard sedan is ready at a Brisbane dealership after payment clearance. The dealership releases vehicles on weekdays. Delivery is to a Melbourne home, but the recipient cannot attend until Monday. Please confirm the handover options and estimated windows.” This exposes the dependencies without inventing a guaranteed schedule.
Compare the written scope, not only the price
Ask whether the quote covers the requested handovers, any depot handling and the declared vehicle condition. Confirm expiry, payment terms, change or cancellation conditions and what happens if the vehicle is not ready. Ask separately about transit insurance and obtain the applicable cover details in writing.
Keep the quote with the brief you supplied. If the address, condition or dates change, ask for reconfirmation rather than relying on the original figure. The website quote form prepares a summary; you still need to send it by text or call.
